AI automation for SME operations

Give your team back the hours that admin keeps taking.

SYNTHETIXMIND builds AI automation that removes repetitive operational work from small and medium businesses — the re-keying, the chasing, the copy-paste between systems that nobody was hired to do.

2 weeks
From first conversation to a working automation in production.
No rip-out
We automate around the tools your team already uses every day.
Measured
Every process is timed before and after, so the saving is a number.

Where the hours usually go

Most SMEs lose the same days each month to the same handful of processes. These are the ones we automate first, because the payback is fastest and the risk is lowest.

  • Documents

    Intake and data entry

Invoices, purchase orders, supplier forms and scanned paperwork read once, validated against your rules, and posted straight into your finance or ERP system.

  • Inbox

    Triage and routing

Shared mailboxes sorted by intent, urgency and account, with drafted replies for routine requests and a clean escalation path for everything else.

  • Systems

    Cross-tool handoffs

The manual bridges between your CRM, spreadsheets, scheduling and accounting tools replaced with monitored integrations that log every action they take.

  • Reporting

    Recurring reports

Weekly and month-end packs assembled from source systems on schedule, with the commentary drafted and the figures traceable back to the row they came from.

  • Compliance

    Checks and audit trails

Routine verification steps run consistently every time, with a timestamped record of what was checked, what passed, and what a human needs to look at.

  • Knowledge

    Internal answers

Policies, contracts and process documents made searchable in plain language, so staff stop interrupting the two people who know where everything is.

A short path from problem to production

No twelve-week discovery phase. We find one process worth automating, ship it, then use what it earns to fund the next one.

  1. STEP 01

    Map the week

A working session with the people doing the task. We time each step, note where the errors creep in, and rank candidates by hours saved against effort to build.

  2. STEP 02

    Build the first one

One process, built against your live systems with a human approval step wherever a mistake would cost something. You review it running on real work before it goes wide.

  3. STEP 03

    Hand it over

Monitoring, documentation and a named owner on your side. You can run it, change the rules, and switch it off without calling us — and we stay available if you'd rather not.

Built for teams without an IT department

Our work suits operations, finance and service teams between roughly ten and three hundred people — big enough that the repetitive work is real, small enough that nobody has spare capacity to fix it.

If you have a process that runs the same way every week and depends on one person remembering the order of the steps, that is the conversation worth having.

What you get from the first session

  • An honest shortlist. The processes worth automating, and the ones better left alone.
  • An hours estimate. What each candidate currently costs your team per month.
  • A build plan. Scope, sequence and price for the first automation, in writing.
  • No obligation. The shortlist is yours to act on with us or without us.

Questions we get asked first

Do we need to replace our current software?

No. We build around what you already run. In most engagements the existing tools stay exactly where they are and the automation fills the manual gaps between them.

What happens to our data?

It stays under your control, in your systems and regions, with access scoped to the specific process being automated. We document what each automation can read and write before it is switched on.

Will this replace people on the team?

In our engagements it typically moves them off queue-clearing and onto work that needs judgement. We will tell you plainly during the first session which tasks a machine should not be doing.

How much does a first automation cost?

It depends on the process, and you get a fixed figure before any build begins. The mapping session gives us enough to quote accurately rather than guess.
